Collect candidate or consumer information without manually adding each person to PSBI. Share a link, get records and onboarding kicked off automatically.

Onboarding Links let you collect candidate or consumer information without manually adding each person to PSBI. You create a link, share it on your job board, careers page, applicant tracking system, or in an email — and when someone fills out the short form, PSBI automatically creates their record and starts their onboarding.

No CSV imports. No bulk uploads. No back-and-forth.


When a candidate clicks your link, they see a branded landing page that asks for three things:

  • First Name
  • Last Name
  • Email

After they submit, PSBI:

  1. Creates a consumer record under your account (or finds the existing one if they’re already on file)
  2. Emails them a 6-digit verification PIN
  3. Drops them straight into their onboarding journey — consents, profile information, document uploads, whatever your checklist requires

If the candidate already has everything on file, they’ll see a short “you’re all set” page instead of being asked to repeat themselves.


  • Job postings — paste the link into the “How to apply” section of any job board
  • Careers page — link directly from your website
  • Recruiter outreach — drop the link in email or text outreach instead of asking for resumes first
  • Bulk hiring events — share one link with everyone you meet at a job fair
  • Vendor or contractor onboarding — anywhere you’d otherwise hand-enter a person into PSBI

If your account has compliance management enabled, you’ll find Onboarding Links either as a button on your compliance dashboard or in the sidebar.

  1. Click Create Onboarding Link
  2. Pick the checklist you want new submitters enrolled in (e.g. “Driver Onboarding”, “W-2 New Hire”)
  3. Give the link a name you’ll recognize internally (e.g. “LinkedIn — Atlanta Drivers”)
  4. Optionally add a description that the candidate will see on the landing page
  5. Optionally set an expiration date
  6. Save

You’ll get a shareable URL like https://app.psbi.com/onboard/abc123... and a copy button. That’s it — paste it wherever candidates will see it.

Order template links (used to kick off a one-time background check transaction rather than enroll someone in an ongoing checklist) can be set up by your PSBI account team. Reach out if that’s what you need.


From the Onboarding Links page you can:

  • Copy the URL of any link
  • See usage counts — how many people have submitted through each link
  • Edit the linked checklist, name, description, or expiration
  • Deactivate a link (existing submitters keep their tasks; new clicks see an inactive message)
  • Delete a link permanently

Security

Onboarding Links are designed to be safe to post publicly.

Hard to guess. Each link contains a random 20-character token — roughly the same strength as a UUID. Even with automated guessing, finding a working link is computationally infeasible.

Hard to abuse. Even if someone obtains your link URL, submitting the form only creates a consumer record. The actual onboarding journey — where consents are signed and personal information is entered — is gated behind a 6-digit PIN that PSBI emails to the address on the form. Without access to that inbox, no one can proceed.

Auto-submit recommendation. Because anyone with the URL can submit the form, we recommend leaving auto-submit off for any checklist used with an Onboarding Link. PIN verification handles identity confirmation; auto-submit should be reserved for workflows where you’ve already verified who the consumer is.


Frequently asked questions

What happens if the same person submits twice? PSBI looks them up by email under your account. If they already exist with an active enrollment in the same checklist, they’ll see the “all set” page instead of getting a duplicate task.

Can I customize the landing page? The page automatically shows your company name and the description you set on the link. Deeper branding (logo, colors) follows your account’s branding settings.

What if a candidate enters the wrong email? They won’t receive the verification PIN and won’t be able to continue. They can re-submit the form with the correct email; PSBI will reconcile or create the right consumer record.

Can I expire a link automatically? Yes — set an expiration date when you create or edit the link. After that date, the URL stops accepting submissions.

Is there a limit to how many people can use one link? No. One link can serve one candidate or ten thousand.
